Most tools that call themselves free are free until you press download. Here is how to tell the difference before you have typed in a client's bank details.

Most tools marketed as free fail at least one of those: they watermark the output, require a sign-up before the download button works, limit you to three invoices a month, or upload everything you type. The four things that make a tool actually free

“Free” is the most overloaded word in this category. It is worth being specific about what you are checking, because a tool can fail on any one of these and still describe itself as free with a straight face.

No watermark

The PDF you download carries no badge, logo or “created with” line. This is the most common paywall, and the most damaging — you find out after sending it to a client.

No sign-up

You can download without an email address. A sign-up wall is a lead-generation form wearing a tool's clothes.

No cap

Three invoices a month is a trial, not a free tier. Check for a limit before you build a workflow on it.

No upload

Your client list, bank details and amounts stay on your machine. Most tools quietly post everything to a server.

The last one is the one nobody checks and the one that matters most. An invoice carries a client's address, your bank account and your tax number. That is a meaningful amount of commercial information to hand to a company whose business model you have not read.

How to test one in thirty seconds

  1. 01Open the tool and fill in one line item with a real amount. Do not fill anything else.
  2. 02Press download. If a sign-up appears now, you have your answer.
  3. 03Open the PDF and look at the header, footer and background for a watermark.
  4. 04Reload the page. If your work is gone, there is no local persistence and you will retype it every session.
  5. 05Open your browser's network tab, type something, and watch. If requests fire as you type, your invoice is being uploaded.

Step five is worth doing once, on whichever tool you settle on. It takes ten seconds and tells you more about a product than its privacy policy does.

What to look for beyond free

Once a tool clears the four tests, the differences that matter are practical ones — and for an Indian business they are mostly about GST and rupees.

  • A correct GST split. CGST and SGST inside your state, IGST across state lines, driven by a single question about place of supply rather than left for you to work out.
  • Indian digit grouping. ₹12,34,567.50, not ₹1,234,567.50. A finance team skim-reading a Western-grouped figure reads it wrong by a factor of ten.
  • Amount in words, in lakh and crore. Near-universal on Indian invoices, and the thing that stops a misread figure becoming an argument.
  • A rupee sign that actually renders. More tools than you would expect print a box, a question mark or “Rs.” because the font in their PDF has no ₹ glyph.
  • Real PDF text. A PDF that is an image of an invoice cannot be searched, copied from, or read by the software your client uses to process it.

The catch with browser-based tools

It would be dishonest to list only the advantages. A tool that runs entirely in your browser, as ours does, buys privacy at a real cost: there is no account, so there is nothing to log into from another device, and your saved draft lives in one browser on one machine. Clear your site data and it is gone.

For most people invoicing a handful of clients, that trade is worth making — you download the PDF anyway, and the PDF is the record. If you need a shared client database, recurring invoices raised automatically and a team of five working from the same ledger, you want accounting software, and you should pay for it. Those are different products solving different problems.
